Race/Ethnicity Reporting at Georgetown

Analyzing and effectively communicating data about our community is an important component of Georgetown’s approach to fostering a diverse, equitable, and inclusive learning and working environment. Below we provide documentation on how the University reports race/ethnicity. It is meant to serve as a resource for readers of reports and a guide for staff who create them.

Three primary methodologies are used to report race/ethnicity to internal and external audiences. These reporting options may continue to evolve over time to ensure that we align with federal reporting standards and the needs of the Georgetown campus community. Georgetown units and offices engaged in collecting or reporting data for internal purposes might choose to vary the categories listed below. They are urged to consult with OADS before doing so to learn about emerging best practices.

Based on current U.S. Department of Education federal reporting guidelines, individuals are grouped into a single category. Those whose citizenship status is Temporary Non-Resident Alien (International) are counted in the Nonresident Alien category, regardless of their race/ethnicity. Individuals whose citizenship status is U.S. Citizen, National, or Permanent Resident, are counted in one of the following federal race/ethnicity categories:

  • Individuals who are Hispanic or Latinx, regardless of any race, are counted in the “Hispanic or Latinx” category. 
  • Individuals who are not Hispanic or Latinx, and who identify as a single race, are counted in that single race category. Single race categories include the following: “American Indian or Alaska Native,” “Asian,” “Black or African American,” “Native Hawaiian or Other Pacific Islander,” or “White”
  • Individuals who are not Hispanic or Latinx, and who identify as more than one race, are counted in the “Two or More Races” category. 
  • All individuals who decline to answer the Hispanic or Latinx ethnicity question and the race question, regardless of citizenship status, are reported in the “Not Reported” category.

Because the race and ethnicity designations are reported only for U.S. citizens and the “nonresident alien” category is a legal status for students with specific types of visas, undocumented students would be reported in the “Not Reported” category per U.S. Department of Education guidelines.

Suggested Use Cases: External reporting of student data; peer analytics against other institutions of higher education; certain cases where it is important to count each student only once; reports featuring international students compared to U.S. citizens and permanent residents.

This categorization combines race/ethnicity responses into one category that is used to report to the U.S. Department of Labor (including for purposes of EEO compliance). All individuals, regardless of citizenship status, are counted in one of the following federal race/ethnicity categories: 

  • Individuals who are Hispanic or Latinx, regardless of any race, are counted in the “Hispanic or Latinx” category. 
  • Individuals who are not Hispanic or Latinx, and who identify as a single race, are counted in that single race category. Single race categories include the following: “American Indian or Alaska Native,” “Asian,” “Black or African American,” “Native Hawaiian or Other Pacific Islander,” or “White”
  • Individuals who are not Hispanic or Latinx, and who identify as more than one race, are counted in the “Two or More Races” category. 
  • All individuals who decline to answer the Hispanic or Latinx ethnicity question and the race question, are reported in the Not Reported category.

Suggested Use Cases: External reporting of staff/faculty data; certain cases where it is important to count each individual only once.

This categorization presents a detailed picture of multiple racial/ethnic identities. Individuals are counted in every race/ethnicity group in which they have self-identified; therefore, the total counts will exceed the overall total headcount. International (nonresident alien) individuals who identified in one or more race/ethnicity categories are counted in those categories; those who have not are counted as “Not Reported”, along with the U.S. Citizens/Nationals and Permanent Residents who did not identify a race/ethnicity. This methodology does not include a “Two or More Races” or “Multiracial” category. 

  • Categories include the following: “American Indian or Alaska Native,” “Asian,” “Black or African American,” “Hispanic or Latinx,” “Native Hawaiian or Other Pacific Islander,” “White”, and “Not Reported”
  • If more detailed ethnicity information is collected and available in a consistent and reliable format (i.e., Asian subgroups, such as Chinese, Korean, Filipino, Indian, Hmong, etc.; and Hispanic/Latinx subgroups, such as Mexican/Mexican American/Chicano, Puerto Rican, Cuban, etc.), these subgroups/categories may be included as part of this inclusive reporting approach. However, it is recommended that OADS be consulted prior to including specific subgroups in reports or analyses.

Suggested Use Cases: Internal reporting of student, staff, and faculty data; certain cases where it is important to show trends for individual race/ethnicity categories.


Note: Office of Assessment & Decision Support (OADS) publications show ‘Hispanic or Latinx’ instead of ‘Hispanic or Latino’ to be more inclusive and gender neutral. They will also show ‘Not Reported’ instead of ‘Unknown’ or ‘Other’ because Race and Ethnicity are self-reported values. ‘Not Reported’ accurately represents that information was not provided.
